How to manage direct booking inquiries in Salisea

Salisea keeps the guest conversation and the booking decision in one place. An inquiry can arrive by email or be added manually after a phone call, WhatsApp message, Facebook or Messenger conversation, walk-in, or another direct contact. From there, you can review the requested stay, check real availability, temporarily block dates, reply to the guest, and confirm the booking without copying the same details into a spreadsheet.

Bring the inquiry into the Inbox

For email inquiries, connect your property’s Salisea inbox address using a forwarding rule in your email provider. Your original messages remain in your usual inbox; Salisea receives a copy and groups the conversation with the property.

For a phone call or message from another channel, choose Add inquiry in the Salisea Inbox. Select the property or accommodation, record the guest and stay details, and paste the relevant message or a short call note. This creates an inquiry, not a booking, so the dates remain available until you deliberately block or confirm them.

Facebook, Messenger, and WhatsApp are inquiry sources, not direct integrations. Keep the conversation in the app the guest already uses, then add the booking details to Salisea. Salisea does not read or automatically import private messages, and WhatsApp Business is not required.

Review the request before offering a stay

Open the inquiry and check the guest’s name, arrival and departure dates, party size, requested accommodation, and original message. Correct anything that is missing or inaccurate before making an availability decision.

Choose Accommodation to compare the requested stay with nearby bookings and select an available unit. Salisea checks confirmed bookings, temporary holds, manual blocks, and imported calendar events. If you need more context, open View availability in Calendar for the full calendar.

Block dates when the guest needs time

If you want to protect the dates while the guest decides or arranges a deposit, choose Block dates and set a clear deadline. The inquiry becomes reserved and the selected unit is unavailable for that period. Salisea releases the dates automatically after the deadline unless you extend the block or confirm the booking.

A hold is not a confirmed reservation. Use it only when there is a real next step, such as “Guest to confirm by tomorrow at 18:00.”

Reply with the current booking facts

Keep the reply beside the inquiry so the conversation, dates, unit, and offer can be reviewed together. Salisea can prepare a draft using the guest’s message and current availability, but you review the content and approve sending. For inquiries handled outside email, keep the relevant reply or note with the inquiry so the operational record stays complete.

Before sending, confirm that the dates, accommodation, guest count, price, and any hold deadline match what you intend to offer.

Confirm the booking in the same record

When the guest accepts, choose Confirm booking. Record whether a deposit is not required, awaiting payment, or already received. The confirmed stay blocks the calendar and retains the guest, dates, accommodation, conversation, and payment context from the inquiry.

There is no need to retype the stay into a separate booking sheet. The Inbox now shows what was requested and agreed, while the Calendar shows the resulting reservation.

Use the Inbox as a daily action list

Review new inquiries, conversations awaiting your reply, and holds nearing their deadline each day. Archive inquiries that were declined or are no longer active. The useful question is no longer “Which spreadsheet is current?” but “Which guest is waiting, which dates are protected, and what must happen next?”
